Writing an Effective Equipment RFQ
A well-structured Request for Quotation saves time for both buyer and supplier. It ensures you receive accurate, comparable quotes and reduces back-and-forth communication during the procurement process.
Here is what your heavy machinery RFQ should include.
1. Equipment Specifications
Be specific about what you need. Vague requirements lead to mismatched quotes.
Include:
- Machine type and size class (e.g., "20-tonne class crawler excavator")
- Minimum operating weight range
- Engine power requirements (kW or HP)
- Key performance specifications (digging depth, bucket capacity, rated load, etc.)
- Required certifications (CE, EPA, Euro V, etc.)
- Attachment requirements (hammer, auger, quick coupler, etc.)
Avoid:
- "Send me your best excavator" — this results in the supplier choosing for you
- Mixing multiple unrelated machine types without clear separation
2. Quantity and Configuration
- Number of units per model
- Whether units should be identical or can vary
- Any custom configuration requirements (paint color, branding, special equipment)
3. Delivery Requirements
- Destination: Port name or specific site address
- Incoterms preference: FOB, CIF, CFR, DDP — specify what you expect
- Required delivery date: Be realistic. Factory production typically requires 30-60 days.
- Shipping mode preference: FCL container, flat rack, RoRo, or supplier's recommendation
4. Commercial Terms
- Payment terms you require: T/T split, L/C, Trade Assurance
- Warranty expectations: Minimum warranty period and coverage scope
- Spare parts requirement: Initial spare parts package, long-term parts availability
- Documentation requirements: Operator manual, parts catalog, maintenance schedule, certificates of origin
5. Compliance and Documentation
- Import regulations for your destination country
- Required certifications or homologation
- Language requirements for documentation
- Pre-shipment inspection requirements (PSI by SGS, Bureau Veritas, etc.)
6. Evaluation Criteria
Help the supplier understand how you will evaluate their proposal:
- Price weighting
- Delivery timeline weighting
- Technical compliance
- Warranty and after-sales support
- Payment terms flexibility
7. Submission Format
Specify:
- Response deadline
- Format (email, portal, or specific template)
- Contact person for technical questions
- Whether partial quotes are acceptable
